What is this about?

In the case of events at which attendance is necessary, it is essential to ensure that the contact data of all persons taking part in the event is recorded. The purpose is to prevent the spread of infection. Should a person present have COVID-19, the health agencies can use this data to track and trace contacts and break the chain of infection at an early stage. This is an effective way to inhibit the spread of the coronavirus.

 

How does online check-in work?

The University of Koblenz-Landau will provide a web app that makes check-in easy for all events requiring attendance. All participants at an event are to report in on-site; members of the university as well as guests. The app will show the time and location of the event; in the case of some venues it will also be possible to book seats in advance. If a COVID-19 infection is reported, it will be possible to generate lists of all participants at the event and to rapidly trace contacts.

Online check-in can be used both for events registered in KLIPS (campus management system of the university), as well as for events that are not registered in the system. Please therefore:

  • Use the check-in system for any type of event you plan to attend to ensure guaranteed and unproblematic contact tracing if necessary.

 

Please note: Guests

As a guest of the university (i. e. if you do not have your own university e-mail address), it is important that you use the online check-in system if you are attending an event at the university.

The various procedures for checking in as a guest are explained below.

 

The web app for the online Check-in is available under: http://uni-ko-ld.de/seats.

To switch to the English interface: 

  • click the 'Sprache' menu in the lower righthand corner in the desktop view.
  • click the burger menu in the lower lefthand corner in the mobile view and choose "Sprache".

Check-in for registered events

If your event is registered in KLIPS, the various possible check-in procedures are as follows:

 

Variant 1: Log-in using a QR code

If a QR code has been created for your event location, please use the QR code to check in. Please proceed as follows:

  • Scan one of the QR codes at the event location. Either:
      • the QR code on one of the assigned seats or
      • the QR code of the event location
  • You will be forwarded to the log-in page.

 

Please note: Remember to observe social distancing rules when scanning the QR code!

 

  • Click on the ‘Guest login’ button (at the bottom of the login page).
  • Enter all required information completely and correctly.
  • Click on ‘Log in’ (blue button).
  • The check-in information for your event location will be immediately displayed. Verify your check-in information is correct.
  • Click on ‘Check in’ (green button)

 

Variant 2: Log-in via URL

If a QR code has not been created for your event location or if you are unable to scan the QR code, please proceed as follows:

 

  • Go to the event location and open the following URL in the browser of your end device: 
  • Choose the Campus your are on. 
  • Click on the ‘Guest login’ button (at the bottom of the login page).
  • Enter all required information completely and correctly.
  • Click on ‘Log in’ (blue button).

 

  • Select your location and the appropriate event from the event overview.
  • Verify your check-in information is correct and enter your seat number if available.
  • Click on ‘Check in’ (green button)

 

Important: Check-out

  • Please click on ‘Check out’ (red button) in the web app at the end of the event.
  • Please then immediately leave the event location, maintaining a minimum distance of 1.5 m from other attendees.
  • Do not forget to check out if you leave the event location before the end of the event!

 

Check-in for unregistered events = Free check-in

If your event is not registered in KLIPS, it is important that you still use the online check-in system. The various possible procedures for Free check-ins for non-KLIPS-registered events are as follows:

  • Click on the ‘Guest login’ button (at the bottom of the login page).
  • Enter all required information completely and correctly.
  • Click on ‘Log in’ (blue button).

 

  • Click on the ‘Free check-in’ button under the event overview.
  • Enter all of the required information.
  • Click on ‘Check in’ (green button)

 

Important: Check-out

  • Please click on ‘Check out’ (red button) in the web app at the end of the event.
  • Please then immediately leave the event location, maintaining a minimum distance of 1.5 m from other attendees.
  • Do not forget to check out if you leave the event location before the end of the event!

 

Frequently asked questions (FAQs)

Here you will find information on how to scan a QR code with an Android device or Apple device.

If you can log in after scanning the QR code, but cannot register for the appropriate event, please do the following:

  • Please report immediately that the QR code provided is not working. Write a short e-mail to and enter the event information.

Subsequently, you will be able to check in via the event list:

  • Click on the link to the event list (below).
  • Search for the event that you are currently attending in the event list displayed and select it.
  • Now you should be able to check in to your event.

If your event does not appear in this list, click on the ‘Free check-in’ button (displayed below the list). Manually enter the room number and (if possible) your seat number to complete check-in.

If you were not able to check in at the beginning of the event (perhaps due to technical problems) or have forgotten to check in, please ask the event supervisor for the TAN of the event. Using the TAN, you can subsequently check in:

  • Go to http://uni-ko-ld.de/seats
  • Choose the campus on which the event took place.
  • Log in as a guest.
  • Click on the ‘Post check-in’ button below the event list to begin your subsequent check-in.
  • Enter the TAN you have been given and complete the check-in.

Important: Subsequent check-in is only possible for registered events.

Information you enter while checking in on-site is encrypted for 28 days and saved to the servers of the University of Koblenz-Landau. It will not be subject to processing. On expiry of this period, your data will be permanently deleted. The information will only be used to create lists with the relevant contact data from KLIPS if this data is actually required for track and trace purposes. In this case, contact data lists will be transferred to the health authorities.

What happens if a COVID-19 infection is detected?
In this case, the health authorities will trace the attendees at the corresponding event. These will also decide whether and which persons may need to self-isolate.
