Online check-in: Information for lecturers

What is this about?

The web app of the University of Koblenz-Landau facilitates online check-in for all events requiring attendance, making it easier to trace contacts should an infection with COVID-19 be detected.

You will find all the important information on the online check-in procedures for members of the university here.

 

Please note: Lecturers

If you are holding a registered event, you can manage the various check-in aspects for the event. In particular, you can display the TAN of the event; this will enable participants to retroactively check in when necessary.

Important: Please first check in at the event location yourself!

 

The web app for the online Check-in is available under: http://uni-ko-ld.de/seats.

To switch to the English interface: 

  • click the 'Sprache' menu in the lower righthand corner in the desktop view.
  • click the burger menu in the lower lefthand corner in the mobile view and choose "Sprache".

 

How do I manage check-ins?

After you have checked in for your event, you can manage the features of this event.

  • Click on the ‘Inspect check-ins for this event’ button to review check-ins.

 

The following information will be displayed:

  • Approved: pre-registered checked-in university members (without names)
  • Non-approved: non-registered checked-in university members
  • Guests: People who have registered using the guest log-in (not members of the university)
  • Room capacity: the maximum number of participants permitted at this event location
  • Check-in times: the duration for which the participants were checked in.

If you click the Show check-in times button, you will see from when and for how long the individual participants were checked in. You can thus distinguish accidental check-ins from permanent check-ins until the end of the event.

 

 Please note:

If the number of all check-ins exceeds the number of participants permitted at the event location, you must not proceed with the event! In this case, the app will display a warning message.

Whether you allow non-registered members and guests to take part is a decision you will need to make yourself based on an assessment of the related risk.

 

Below the overview you will see the

  • TAN of the event that can be used for retroactive check-in.

You can inform participants of the TAN of the event during the event and/or subsequently provide it to participants on request. 

 

Retroactive check-ins for prior events

You also have the option of calling up a TAN for a previous event and to provide it to requesting participants who were unable to check in during the event. Please proceed as follows:

  • Open the URL http://uni-ko-ld.de/seats in any end device.
  • Log in by entering your university e-mail address and the associated password.
  • Click on the ‘Inspect check-ins for your events’ button (above the event overview).
  • A list will be displayed of events and the associated TANs.

 

Inspecting Check-ins of past events

Via the list of past events you also have the possibility to view and inspect check-ins of past events. To do this, proceed as follows:

  • Open the URL http://uni-ko-ld.de/seats in any end device.
  • Log in by entering your university e-mail address and the associated password.
  • Click on the ‘Inspect check-ins for your events’ button (above the event overview).
  • In the list of events, select the View button in the far right column.
